Why make copies? Perhaps your GURL Friday is becoming unwieldy due to its burgeoning size. A large database can be slow to sort or Find in. Maybe you want to have shorter lists of Categories or Contents. You might wish to make a copy of selected URLs to give a friend or colleague. (Please remember that anyone to whom you wish to give a copy of GURL Friday must also have purchased GURL Friday for their own computer.)
Use one of the With... buttons to create specialized copies of GURL Friday. Remember a few things if you are passing along a copy of GURL Friday:
GURL Friday's Assistant and both the AppleScripts must go along with GURL Friday.
Decide very carefully whether or not to Copy with personal info included and use the appropriate button.
The person to whom you are passing GURL Friday must have purchased their own copy of GURL Friday.
You may maintain as many copies of GURL Friday as you wish for your own use. Create a specially named folder within your GURL Friday folder, and give the new folder a name that will help you remember the nature of your specialized GURL Friday. Put copies of GURL Friday's Assistant and the AppleScripts in the folder, too. Now you can open the specialized GURL Friday, and get some enhanced speed on sorting and finding.
Note that the first time you run the AppleScript applets from this new GURL Friday, Applescript will ask you to locate the appropriate applet and/or your applications on your hard drive. Just follow the directions and AppleScript will remember the location of the applet and applications the next time you run that script.
You may create and rename aliases of these specialized GURL Friday copies and put them in a special folder or on your desktop.

A Hotlist is a page that Netscape can open. It lists sites, and has some of the text in it set up as links to those sites. GURL Friday will export any group of URLs as a text file with HTML definition list and "<A HREF>" anchor tags in place. Huh? Don't worry, just remember that GURL Friday makes Hotlists that show your Title as a link, and your Description as a paragraph of text following the Title. GURL Friday will also add the first Category you chose in small type below the Description for each link if you click the appropriate button.
When building a Hotlist, you will have the opportunity to name the Hotlist.html file. Note that some Web browsers may require that a Hotlist filename end with the extension: .html, or .htm. It's a good idea to add the full .html extension, and limit yourself to 8 characters for the filename if you want to pass your Hotlist along to someone who isn't on a Mac!
But wait, there's more! GURL Friday will export this Hotlist sorted in alphabetical order first by Category, then by Title. So, all of the "Advertising" sites you found will be alphabetized by title, then the "Cartoon" sites will follow in the list.
You may choose to either include or omit a small-text paragraph that describes the Category of each GF-URL in your Hotlist by clicking the appropriate button.
Don't order yet! Be sure to review HTML Descriptions to find out how you may easily add formatting of your own in GURL Friday to make your Hotlists even more attractive, informative and useful.
Although this type of customizing is definitely for FileMaker Pro power users only, it is one of the most useful features available in GURL Friday. GURL Friday comes to you unlocked, without any password protection, ready for you to add fields, calculations, layouts, even scripts of your own. You can customize a copy of GURL Friday to track specialized types of sites for academic or commercial research. Imagine adding radio button fields to track percentages of sites that meet some special criteria in your area of interest!
The authors of GURL Friday can't turn you into a FileMaker Pro poweruser in the short space of this documentation, but can offer some general do's and don'ts.
Before you try to customize fields or layouts in your GURL Friday database, please make at least one backup copy. Copies on several different disks would be better. Similarly, before changing a screen layout, why not duplicate the layout? Work on the duplicate, and if you are pleased with your results, copy the entire layout and paste it in place of the old one on the original screen. Then merely delete your new, experimental layout!
Do not under any circumstances change the order of the existing fields in the field definition dialog box. Don't do it!!! We're not kidding around here. If you do change the field order, all of your existing scripts for Importing and Exporting URLs and Hotlists, and copying GURL Friday, will break down. This is a FileMaker Pro requirement that must be followed. But don't despair, either.
Adding field definitions will place new fields at the bottom of the existing list. Just leave them there, and they will not interfere with any existing scripts. If you create new scripts, remember that the same "don't change the field order" principle applies to any fields that exist when the new scripts are created.
The Hotlist building functions of GURL Friday are locked into the password protected GURL Friday's Assistant. These routines are proprietary, and GURL Friday's Assistant cannot be customized.
